ROCKWOOL is seeking a detail-oriented and proactive
Mobility & Immigration Specialist, based on-site at our Chicago, IL office (60638), to support our employees’ international assignments, relocations, and immigration needs for North America. This role plays a critical part in ensuring smooth mobility processes, compliance with immigration regulations, and a positive employee experience for colleagues relocating or traveling for business
. This is a hybrid role, in the office Mon. through Thurs. with a work from home option on Fri.
Partner closely with employees, managers, HR Business Partners, and external vendors (e.g., relocation providers, immigration counsel) to provide guidance, coordinate documentation, and manage cases from intake through successful completion.

What You Will Be Doing
Immigration Case Management
- Coordinate U.S. and Canadian immigration processes (work permits, visas, renewals, permanent residency, etc.) in partnership with external counsel.
- Track and maintain accurate immigration status, expiration dates, and compliance requirements.
- Provide clear communication and guidance to employees and managers on immigration processes, timelines, next steps, and responsibilities.
Mobility & Relocation Support
- Manage assignment letters, relocation allowances, and other mobility documentation.
- Support assignments to/from North America, business travel requests, and employee relocations, ensuring alignment with company policies and local compliance.
- Liaise with Global Mobility counterparts and external vendors to ensure a seamless relocation experience.
Compliance & Policy
- Ensure adherence to country-specific laws, company policies, and data privacy regulations (e.g., GDPR, USCIS/IRCC requirements).
- Support audits, reporting, and tracking of immigration and mobility cases.
- Maintain and update internal process guides, toolkits, and employee/manager resources.
Employee Experience & Advisory
- Act as the first point of contact for North America employees and managers on mobility and immigration inquiries.
- Provide timely updates, transparent communication, and empathetic support throughout the relocation or immigration process.
- Partner with HR and leadership to support workforce planning that involves cross-border mobility.
What You Bring
- 3+ years of experience in global mobility, immigration, HR operations, or a related role.
- Strong understanding of U.S. and Canadian immigration processes; global immigration exposure a plus.
- Experience managing external immigration counsel or relocation vendors.
- Excellent organizational skills with the ability to manage multiple cases and deadlines simultaneously.
- Strong interpersonal and communication skills, with the ability to explain complex processes clearly.
- High attention to detail and commitment to confidentiality.
- Proficiency with HR systems (e.g., Workday) and Microsoft Office Suite.

The salary range for this position is $80,000.00 - $90,000.00. Your salary is determined based on location, experience and the pay of employees in similar positions.
