Role Overview
The Mobility Specialist will manage end-to-end immigration and mobility processes for employees across the United States and Canada. Serving as the primary point of contact for employees, managers, attorneys, and internal stakeholders, this role ensures 100% immigration compliance, seamless employee experience, and operational excellence across all mobility programs.
The ideal candidate possesses strong expertise in U.S. and Canadian immigration processes, employment-based visa programs, compliance requirements, vendor management, and process optimization. You will partner closely with HR, Compensation, Legal, and business leaders to align immigration filings with regulatory requirements and organizational needs.
What You Will Do
Immigration & Mobility Management
- Manage end-to-end employment-based immigration processes for North America (United States and Canada).
- Coordinate and oversee visa and work authorization programs including H-1B, L-1, OPT/STEM OPT, TN, E-3, Permanent Residency / Green Card processes, and Canadian work permits.
- Serve as the primary liaison between employees, managers, external immigration counsel, and government agencies.
- Track immigration case progress, monitor visa expiration dates, and proactively manage renewals and extensions to ensure timely filings.
Compliance & Regulatory Oversight
- Ensure strict compliance with immigration regulations, internal policies, and government requirements.
- Support local HR compliance and assist in drafting and releasing HR policies.
- Review Labor Condition Applications (LCAs), prevailing wage documentation, and supporting immigration documents prior to submission.
- Coordinate posting, execution, and maintenance of required compliance records and Public Access Files; maintain audit-ready documentation for internal/external audits.
- Partner with Legal, HR, and external counsel to address regulatory changes and implement required process updates.
Compensation & Job Alignment
- Partner with Compensation teams to align salary structures with prevailing wage requirements, Department of Labor (DOL) regulations, and immigration guidelines.
- Review job descriptions, duties, and organizational structures for consistency and visa compliance.
- Collaborate with hiring managers to validate and document job responsibilities for immigration filings.
Employee Support & Stakeholder Management
- Guide and support employees throughout the immigration lifecycle, resolving inquiries within established SLAs and SOPs.
- Draft, review, and release immigration-related letters and documentation for visa appointments, travel, and government filings.
- Conduct immigration awareness sessions and provide policy guidance to employees and managers.
Vendor & Attorney Management
- Manage relationships with external immigration attorneys, consultants, and vendors, coordinating case initiation, document collection, and review cycles.
- Track immigration expenses and vendor invoices to ensure timely processing and payment.
- Maintain accurate immigration trackers, reporting dashboards, and case management records while monitoring vendor performance against service standards.
Process Improvement & Automation
- Review mobility workflows to identify opportunities for optimization and drive automation using AI-enabled solutions to improve efficiency and reporting.
- Develop and maintain SOPs, process documentation, and knowledge repositories while generating metrics and dashboards to support leadership decisions.
HR Operations Support
- Support broader HR operational activities, employee lifecycle processes, compliance initiatives, and office engagement projects as needed.
Basic Qualifications (BQs)
- Bachelor's degree in Human Resources, Business Administration, Legal Studies, or a related field.
- 4–7 years of experience in U.S. immigration, global mobility, or HR operations.
- Strong working knowledge of U.S. immigration programs including H-1B, L-1, OPT/STEM OPT, PERM, I-140, Adjustment of Status, and Green Card processes.
- Practical knowledge of Canadian immigration and work permit processes.
- Experience partnering with external immigration counsel and managing complex case portfolios.
- Deep knowledge of DOL regulations, prevailing wage requirements, LCAs, and immigration compliance practices.
- Experience managing vendors, budgets, invoices, and service-level agreements (SLAs).
- Strong analytical, organizational, project management, and written/verbal communication skills.
Other Qualifications (OQs)
- Experience supporting global mobility programs within a high-growth technology or consulting organization.
- Experience with immigration case management systems and HRIS platforms.
- Hands-on familiarity with AI tools and workflow automation technologies.
- Understanding of broader global mobility policies, relocation programs, and cross-border operations.
