Job Overview
The Global Mobility Specialist is responsible for administering and coordinating domestic and international mobility programs across North America. This role serves as the primary point of contact for employee relocations, international assignments, immigration support, tax coordination, and mobility compliance while ensuring a seamless employee experience.
The Global Mobility Specialist partners closely with Human Resources, Compensation, Payroll, Tax, Legal, Finance, relocation vendors, immigration counsel, and business leaders to deliver compliant, cost-effective mobility solutions that support business growth and talent deployment.
This position plays a key role in developing standardized mobility processes, managing vendor relationships, monitoring program costs, ensuring regulatory compliance, and supporting strategic workforce initiatives.
Job Responsibilities
Mobility Administration
- Administer domestic and international employee relocation programs.
- Coordinate permanent transfers, new hire relocations, expatriate assignments, repatriations, and short-term assignments.
- Manage the end-to-end mobility lifecycle from offer acceptance through assignment completion.
- Provide employees with guidance regarding relocation benefits, policies, and procedures
- Coordinate relocation timelines with HR, Payroll, Compensation, hiring managers, and external vendors.
Immigration & Work Authorization
- Coordinate employment-based immigration processes with outside immigration counsel
- Monitor visa and work authorization status to ensure ongoing compliance.
- Support HR and business leaders regarding immigration timelines and documentation requirements.
- Maintain immigration records and reporting.
Vendor Management
- Serve as the primary contact for relocation management companies, immigration providers, tax advisors, and mobility vendors.
- Monitor vendor performance, service levels, billing accuracy, and contract compliance.
- Resolve vendor issues and continuously improve the employee relocation experience.
Payroll, Compensation & Tax Coordination
- Partner with Compensation to administer relocation packages, allowances, and assignment-related compensation.
- Coordinate with Payroll to ensure accurate processing of relocation payments, taxable benefits, gross-ups, and assignment pay.
- Partner with tax providers regarding tax equalization and reporting requirements
- Ensure accurate HRIS updates related to employee transfers and assignments.
Compliance & Governance
- Ensure compliance with immigration regulations, employment laws, tax reporting requirements, mobility policies, and data privacy regulations.
- Maintain mobility documentation and audit records.
- Monitor legislative changes affecting employee mobility
Employee Experience
- Serve as a trusted advisor to employees and managers throughout the relocation process.
- Provide guidance regarding relocation benefits, housing, travel, moving services, tax support, and assignment expectations.
- Resolve complex mobility issues while maintaining exceptional customer service.
Reporting & Continuous Improvement
- Develop and maintain mobility dashboards, including assignment tracking, immigration status, vendor performance, program costs, and relocation cycle times.
- Identify process improvement and automation opportunities.
- Support the development of mobility policies, standard operating procedures (SOPs), and employee communications.
- Assist with the implementation of mobility technology solutions and vendor enhancements.
Job Qualifications
Education & Experience
- Bachelor's degree in Human Resources, Business Administration, International Business, or a related field preferred.
- Minimum of 3–5 years of Global Mobility, Relocation, Immigration, or International HR experience.
- Experience administering domestic and international mobility programs.
- Experience working with relocation management companies and immigration vendors preferred.
Knowledge & Skills
- Strong understanding of domestic and international relocation practices, immigration processes, mobility tax concepts, payroll implications, and mobility policy administration.
- Excellent project management, analytical, organizational, and communication skills.
- Ability to manage multiple complex employee cases simultaneously.
- Strong customer service orientation and ability to maintain confidentiality.
Technical Skills
- Proficiency in Microsoft Office Suite, particularly Excel.
- Experience with SAP SuccessFactors, Workday, UKG, or similar HRIS platforms preferred.
- Experience with relocation management systems and reporting tools is a plus.
