We are an established Corporate Immigration Law Firm seeking to hire a Legal Staff Assistant for our North San Jose office. This is an entry-level position designed for candidates interested in developing hands-on experience in immigration law. The role will focus on both family-based and employment-based immigration matters, with training provided.

We are looking for a highly motivated, detail-oriented individual who is eager to learn immigration law and grow within a fast-paced, deadline-driven environment. This role is well-suited for someone who is meticulous with details, able to follow structured processes and procedures, and comfortable handling high-volume, paper-based filings. The ideal candidate is organized, proactive, and able to manage repetitive tasks with a high level of accuracy while meeting strict deadlines and maintaining consistent communication with clients and team members.

Candidates must reside locally to accommodate weekly on-site work requirements.

Essential Duties and Job Responsibilities

Work closely with a manager to prioritize daily assignments and meet service level agreement (SLA) deadlines.
Draft immigration petitions and applications, including preparing forms, reviewing client information, and compiling supporting documentation for USCIS submissions.
Support both family-based and employment-based immigration cases, including I-130, I-485, I-765, N-400, I-140, and related filings.
Communicate with clients, HR personnel, foreign nationals, attorneys, and government agencies regarding case updates and document requests.
Maintain and update case management systems with accurate, real-time case data, notes, and deadlines.
Track case progress and proactively follow up on outstanding documentation or action items.
Support attorneys and paralegals to ensure timely and accurate case processing.
Develop the ability to manage cases more independently over time with experience and training.

Position Requirements

Bachelor’s degree or Paralegal Certificate.
Strong attention to detail and ability to produce accurate, high-quality work. A proofreading assessment may be administered during the interview.
Excellent written and verbal communication skills.
Strong organizational and time-management skills, with ability to manage multiple tasks and deadlines.
Proactive, dependable, and able to take initiative in a fast-paced environment.
Strong willingness and ability to learn and retain immigration processes and case procedures.
Intermediate proficiency in Windows, Microsoft Office applications including Excel, Word, and PowerPoint, and common business tools such as Adobe Acrobat, document scanning, and cloud-based software.
Prior administrative or legal experience is a plus.
