Position Summary
The Mobility Specialist will be responsible for managing end-to-end immigration and mobility processes for employees across the United States and Canada. This role will serve as the primary point of contact for employees, managers, attorneys, and internal stakeholders, ensuring immigration compliance, seamless employee experience, and operational excellence across all mobility programs.
The ideal candidate will possess strong knowledge of U.S. and Canadian immigration processes, employment-based visa programs, compliance requirements, vendor management, and process optimization initiatives. The role will also partner closely with HR, Compensation, Legal, and business leaders to ensure immigration filings align with regulatory requirements and organizational needs.
Key Responsibilities
Immigration & Mobility Management
- Manage end-to-end employment-based immigration processes for North America, including the United States and Canada.
- Coordinate and oversee visa and work authorization programs including:
- H-1B
- L-1
- OPT/STEM OPT
- TN
- E-3 (where applicable)
- Permanent Residency / Green Card processes
- Canadian work permits and immigration programs
- Serve as the primary liaison between employees, managers, external immigration counsel, and government agencies.
- Track immigration case progress and ensure timely completion of all filing requirements and milestones.
- Monitor visa expiration dates and proactively manage renewals and extensions.
Compliance & Regulatory Oversight
- Ensure 100% compliance with immigration regulations, internal policies, and government requirements.
- Support with managing local compliance and help in drafting and releasing HR policies
- Review Labor Condition Applications (LCAs), prevailing wage documentation, and supporting immigration documents prior to submission.
- Coordinate posting, execution, and maintenance of required compliance records and Public Access Files.
- Partner with Legal, HR, and external counsel to address changes in immigration regulations and implement required process updates.
- Maintain audit-ready documentation and support internal and external immigration audits.
Compensation & Job Alignment
- Partner with the Compensation team to ensure salary structures align with prevailing wage requirements, Department of Labor (DOL) regulations, and immigration guidelines.
- Review job descriptions, duties, and organizational structures to ensure consistency and compliance with visa requirements.
- Collaborate with hiring managers to validate and document job responsibilities for immigration filings.
Employee Support & Stakeholder Management
- Provide guidance and support to employees throughout the immigration lifecycle.
- Ensure employee inquiries are resolved within established Service Level Agreements (SLAs), turnaround times (TATs), and standard operating procedures.
- Draft, review, and release immigration-related letters and supporting documentation required for visa appointments, travel, and government filings.
- Conduct immigration awareness sessions and provide policy guidance to employees and managers.
Vendor & Attorney Management
- Manage relationships with external immigration attorneys, consultants, and vendors.
- Coordinate case initiation, document collection, review cycles, and filing submissions.
- Track immigration expenses and vendor invoices, ensuring timely processing and payment.
- Maintain accurate immigration trackers, reporting dashboards, and case management records.
- Monitor vendor performance and service delivery against agreed standards.
Process Improvement & Automation
- Review existing immigration and mobility processes and identify opportunities for optimization.
- Drive automation initiatives and leverage AI-enabled solutions to improve efficiency, employee experience, compliance monitoring, and reporting.
- Develop and maintain SOPs, process documentation, and knowledge repositories.
- Generate regular metrics and dashboards to support leadership decision-making.
HR Operations Support
- Support broader HR operational activities and special projects as required.
- Collaborate with HR teams on employee lifecycle processes, compliance initiatives, and organizational projects.
- Assist with office and employee engagement activities when needed.
Required Qualifications
- Bachelor's degree in Human Resources, Business Administration, Legal Studies, or a related field.
- 4–7 years of experience in U.S. immigration, global mobility, or HR operations.
- Strong knowledge of U.S. immigration programs including H-1B, L-1, OPT/STEM OPT, PERM, I-140, Adjustment of Status, and Green Card processes.
- Working knowledge of Canadian immigration and work permit processes.
- Experience partnering with external immigration counsel and managing complex case portfolios.
- Knowledge of DOL regulations, prevailing wage requirements, LCAs, and immigration compliance practices.
- Experience managing vendors, budgets, invoices, and service-level agreements.
- Strong analytical, organizational, and project management skills.
- Excellent written and verbal communication skills.
Preferred Qualifications
- Experience supporting mobility programs within a high-growth technology or consulting organization.
- Experience with immigration case management systems and HRIS platforms.
- Knowledge of AI tools and workflow automation technologies.
