A Billion-Dollar Leading Global Alternative Investment Manager in Midtown Manhattan is seeking a new Full-Time/Permanent Team Executive Assistant to join one of its sector-aligned strategy investment teams! This person will support approx. 10-15 people, with primary support for the Portfolio Managers and Senior Analysts and additional ad hoc support for the junior team members (who are more self-sufficient but will need help from time to time). Candidates must have a minimum of 4+ years of high-level executive administrative experience supporting a team within financial services (strongly preferred/required) and a Bachelor’s degree is required. They are looking for the cream of the crop – someone happy to be an assistant but also motivated at the same time! Ideal candidates should be self-starters, extremely polished, professional, detail-oriented, organized, accustomed to working independently in a fast-paced, dynamic, ever-changing, and demanding environment, and possess excellent interpersonal and communication skills (both verbal and written). In addition, they will be effective in addressing several internal and external audiences in a mature and professional manner. - Salary base depends on experience (90-120k+), plus paid overtime (approx. 15-20k) and discretionary bonus eligibility (10-15k target) – all in 125-155k+. - Hours are 8:00/8:30-5:00/5:30pm, with flexibility as needed. 5 days in office.
Responsibilities:
- Provide administrative and organizational support for Portfolio Managers and teams.
- Coordinate and schedule a high volume of internal and external meetings.
- Responsible for calendar planning and management, including screening for conflicts and making sure teams are prepared for meetings.
- Coordinate travel arrangements/needs through internal travel department for PMs and team.
- Log corporate access and broker interactions in database
- Collect and organize research reports, models, and company quarterly and annual reports.
- Process expense reports for PMs and team in a timely manner.
- Develop relationships with broker sales teams to effectively plan meetings.
Required Qualifications:
- Bachelor’s degree required.
- Minimum 3-5+ years of administrative support experience, preferably within financial services (preferred, but not required).
- Ability to work in a dynamic, fast-paced environment and quickly adapt to changing priorities.
- Proficiency in Microsoft Office Suite (e.g., Excel, Word, PowerPoint, Outlook) and related software.
- Strong time management skills: ability to effectively balance multiple tasks with competing priorities.
- Excellent organizational skills and attention to detail.
- Sense of ownership for one’s work.
- Proactive in following up on details, anticipating issues, and closing the loop on all requests.
- Ability to exercise discretion when managing confidential information, working across multiple teams and functions.
- Mature and strong interpersonal skills; able to interact professionally with peers and senior-level management.
- Must be team-oriented with the ability to work independently.
- Adept at problem-solving, with the ability to be flexible; may act as a resource to other administrative staff.
- Excellent grammar, written, and verbal communication skills.
