Position Summary:
The Office Coordinator will be responsible for overseeing the day-to-day logistics and operations of our Miami and Homestead offices, ensuring that both locations run efficiently. This role involves coordinating with internal and external stakeholders, managing office workflows, and supporting team members with travel, event planning, and project management tasks.
Key Responsibilities :
Office Operations Management:
- Ensure the smooth running of both Miami and Homestead offices by managing logistics and workflow procedures.
- Act as the point of contact for all vendors and building administration, managing supplies, repairs, and service agreements.
- Oversee the procurement of office supplies and tools, ensuring all necessary resources are available for daily operations.
- Support the ordering, setup, and maintenance of office furniture and equipment, coordinating with vendors for assembly support.
- Manage conference room availability and bookings for meetings and team events.
- Work closely with internal teams, including Executive Assistants, HR, Office Coordinators and Office Supervisors, to identify and resolve challenges, ensuring company needs are met efficiently.
- Support team members traveling with any office accommodations and supplies.
- Collaborate with IT to support phone preparations and assignment for team members, overseeing and updating phone inventory spreadsheets.
- Provide general administrative support.
Project Coordination:
- Support project management activities including documentation, resource allocation, and communication with internal and external contacts.
- Including documentation required for office operations in the U.S. (licenses, contracts, agreements), and coordination with the Offices Manager for any projects outside of the U.S.
Event Planning:
- Assist with the planning and execution of office events, such as anniversary celebrations, holiday parties, and team gatherings.
- Facilitate internal communication, ensuring the team is informed of important updates and events.
Travel Coordination: Arrange travel logistics for team members, including flights, accommodations, transportation, meals and make any necessary office arrangements for team members traveling.
Flexibility & Travel: Occasional travel within the U.S. and internationally may be required, with flexible hours, including weekends and after-hours availability.
Requirements:
- Bachelor's degree in business administration, project management, or related field.
- Minimum 3-year Office Coordination experience
- Proficient in project management software/tools.
- Strong communication and collaboration skills.
- Attention to detail and ability to multitask.
- Ability to work independently and with cross-functional teams.
- Demonstrated commitment to the highest level of ethics in all aspects of work.

Job Type: Full-time
Location: Waterford District. Travel to Miami Beach and Homestead offices.
