Getachew & Ansari Immigration Attorneys, P.C. is seeking an experienced, dependable, and highly organized Immigration Legal Assistant to join our San Jose office.
This is a 100% in-office position and is not eligible for remote or hybrid work. Regular physical presence is essential because this position assists clients and visitors, handles incoming and outgoing mail and packages, processes physical documents, and assembles immigration filing packages.
About the Position
Our firm represents individuals and families in humanitarian and family-based immigration matters. We are looking for someone who has prior experience working in an immigration law firm and is already familiar with immigration terminology, applications, notices, deadlines, and general case workflows.
The ideal candidate is exceptionally detail-oriented, comfortable with technology, and able to take ownership of responsibilities from beginning to end. We need someone who takes initiative, identifies what needs attention, follows up without repeated reminders, and communicates promptly when an issue arises.
Responsibilities
- Welcome and assist clients, prospective clients, and other office visitors
- Receive, open, date-stamp, scan, name, save, and properly route incoming mail and government correspondence
- Prepare, process, and track outgoing mail, packages, and immigration filings
- Assemble immigration applications, petitions, court filings, exhibits, and supporting documents
- Print, copy, scan, tab, label, and organize filing packages accurately
- Monitor email, electronic notices, client communications, and assigned tasks
- Download and properly save documents received from clients
- Maintain complete and accurate physical and electronic client files
- Create and update tasks, calendars, case stages, and internal case trackers
- Follow up with clients regarding documents, signatures, appointments, and outstanding items
- Provide administrative and case-management support to attorneys and paralegals
- Identify incomplete, overdue, or overlooked matters and promptly bring them to the appropriate team member’s attention
- Follow assigned responsibilities through completion without repeated reminders
Required Qualifications
- At least one year of experience working in an immigration law firm
- Familiarity with common immigration applications, notices, filing procedures, deadlines, and case workflows
- Exceptional attention to detail and strong organizational skills
- Demonstrated reliability, accountability, and consistent follow-through
- Ability to take initiative and work independently
- Ability to manage multiple responsibilities and changing priorities
- Strong written and verbal communication skills
- Professional, patient, and compassionate communication with clients
- Strong technology skills and the ability to learn and adapt to new systems quickly
- Ability to work collaboratively as part of a team
- Ability to work full-time exclusively from our San Jose office
- Professional discretion and respect for client confidentiality
- Spanish fluency is [required/preferred]
Experience with immigration case-management software, Google Workspace, Microsoft Word, Adobe Acrobat, cloud-based document-management systems, electronic government filing systems, and task-management tools is strongly preferred.

The successful candidate understands that receiving a document, email, notice, or package is not the end of the task. They determine what must happen next, save and route the item correctly, create any necessary follow-up, and confirm that it has been properly handled.

This person must be capable of working independently while also being a dependable and supportive member of the team.
