OVERVIEW
The Recruiting Specialist role delivers efficient, accurate, and high-quality coordination across recruiting, onboarding, employee support, and offboarding activities. It plays a key part in ensuring a smooth, consistent, and service oriented experience for candidates, new hires, employees, and departing team members. Working within a matrixed environment, this position provides administrative and operational support to multiple leaders across the People & Culture function, specifically within Talent Acquisition, HR Operations, and People Programs. The role partners cross functionally to assist with process execution, documentation management, workflow coordination, system updates, and communication support, contributing to seamless service delivery throughout the employee lifecycle

PRIMARY RESPONSIBILITIES
Recruiting & Candidate Experience
- Support contractor onboarding and related administrative processes.
- Assist with routing, logging, and tracking employee referrals.
- Assist with initiating requisitions with the Talent Acquisition team.
- Help ensure a positive candidate experience through timely, organized communication.
- Manage administrative tasks related to employment verifications and claims processes.
Operational Support
- Maintain shared document repositories, ensuring accuracy, organization, and proper access.
- Manage storage and access to training materials and recorded content.
- Handle meeting reservations for new hires and HR activities.
- Monitor and respond to HR‑related inquiries through designated communication channels.
- Support processing of select HR transactions and centralized HR workflows.
- Assist with creation and maintenance of HR resources, guides, and training materials.
- Ensure required postings and compliance materials are maintained and accessible.
- Provide administrative support to the compensation function, including maintaining compensation files, updating trackers/logs, preparing standard forms/templates, and organization documents for compensation cycles.
Employee Lifecycle Administration
- Provide administrative support across the full employee lifecycle, including onboarding, internal transitions, and offboarding.
- Ensure onboarding tasks and requirements are completed accurately and on time.
- Support orientation activities and new hire integration logistics.
- Assist with employment authorization and compliance documentation processes.
- Prepare and organize new hire materials, resources, and related documentation.
- Provide administrative assistance for compensation-related components of onboarding, transfers, and offboarding, such as preparing compensation letters, routing documents for approval, and updating compensation related materials as directed.
- Assist managers with scheduling onboarding activities and distributing key information.
- Support offboarding processes, including surveys, documentation, and logistics.
- Maintain accurate tracking and organization of employee separation documents.
Onboarding Experience, Tracking & Surveys
- Administer onboarding surveys and compile insights to support continuous improvement.
- Support Compensation and HR Operations with updates to any onboarding-related compensation trackers, audit logs, or operational documentation as needed.
- Maintain onboarding trackers, documentation, and reporting tools.
Communications & Culture Support
- Prepare and distribute organizational communications related to events, holidays, and cultural initiatives.
- Assist in delivering culture‑related messaging and employee engagement communications.
- Support meeting preparation, scheduling, and event-related tasks for HR leadership.

Minimum Education and Experience:
- Minimum 2 years of experience in recruiting support, people operations support, or administrative roles with similar responsibilities.
- Preferred: Bachelor’s degree in human resources, Business Administration, Communications, or related field.
