Qualifications
- Must be proficient in Microsoft Word and Excel, and be able to work with Microsoft Office Suite and Google Workspace
- Experience with Schools Open HR Payroll Software, and experience with Synergy preferred
- Must be proficient at using the Internet as a resource
- Must be self-directed in organizing and accomplishing office work priorities
- Ability to independently compose letters and documents as required
- Must maintain confidentiality regarding staff files as well as student, staff, and community matters
- Able to get along well with a wide variety of people
- A minimum of five (5) years of successful secretarial experience in a school setting is preferred
- Ability to be tactful, pleasant, and courteous at all times and capable of handling difficult situations that arise in a calm and professional manner
- Ability to work as a team member
- Must be dependable and have excellent attendance
- Demonstrate evidence of initiative and flexibility in performing job responsibilities
- Must be neat and well-groomed
- Demonstrate mental/physical ability and stamina for meeting the requirements of the position
Responsibilities
EMPLOYEE BENEFITS:
- Prepare and distribute open enrollment information
- Process fringe benefit (health, life, dental, vision, and LTD insurance) applications
- Process documents and maintain files and/or logs for:
- Long Term Disability (LTD)
- COBRA
- Family Medical Leave (FMLA)
- Work-Related Injuries
- BASIC Flex Plan
- Health Savings Account
- Maintain a spreadsheet for employee health benefits
- Respond to National Medical Support Notices
Communications
- Provide administrative support to the Director of Public Information, Community Outreach, and Culture/School Safety Liaison
- Maintain a staff directory on the district website and Excel spreadsheet
- Prepare letters and certificates for students and staff for various awards and recognition (A+B=C Award, Top High School Seniors, End-of-Year Staff Recognition Luncheon, Welcome Back Luncheon, etc.)
- Assist with district events such as the Volunteer Dinner, etc.
- Send notifications using the Blackboard notification system, District website, and TV stations if the Director is not available (for school closings, parent emails, etc.)
Personnel
- Submit Report of Educational Personnel (REP) to the state of Michigan/CEPI twice per year and update monthly
- Maintain fingerprint subscriptions in the CHRISS online application
- Track employee hours worked for insurance eligibility
- Set up online training for employees in the Vector training platform and follow-up wtih employees as needed
- Other duties as assigned
SALARY: Minimum $23.00 per hour with annual step increases.
