Job Description
James Immigration Law is seeking a highly organized and efficient Office Assistant in an On-Site position to support our legal teams and office operations in Vero Beach, Florida. The ideal candidate will be responsible for a range of administrative duties, including document management, mail processing, client services, errands, and occasional front desk coverage. This position plays a key role in ensuring smooth daily operations across multiple areas, from legal support to client documentation, office errands, and marketing
Responsibilities:
- Print and assemble legal packages, including passport pictures, checks, and other relevant materials.
- Scan and prepare final legal packets for distribution.
- Collaborate on legal package labels and arrange set up.
- Log FedEx tracking numbers into the expense record.
- Take and process passport photographs and fingerprints for clients.
- Efficiently scan and process incoming mail in bulk.
- Organize and file mail (including receipts) by the date of receipt for easy access and retrieval.
- Scan and organize client documents in bulk, saving them to designated OneDrive folders.
- Notify case managers once documents have been successfully saved and are available for review.
- Perform errands, including trips to the courthouse, sheriff’s office, and other relevant locations at the office. Likewise, handle general office errands, such as purchasing groceries and office supplies.
- Provide coverage at the front desk as needed, including greeting clients and handling inquiries.
- Assist the marketing team by creating content for social media and other promotional materials.
Requirements
- Strong organizational and time management skills.
- Proficient in Microsoft Office Suite and basic document scanning software.
- Comfortable with basic photography and fingerprinting tasks.
- Ability to handle sensitive and confidential information with discretion.
- Excellent communication skills and ability to work as part of a team.
- Detail-oriented with a proactive approach to problem-solving.
- Bilingual proficiency in English and Spanish is required.
- Exceptional interpersonal and communication skills, with a focus on compassionate client service.
Work Environment:
This is an on-site position located in our Vero Beach, Florida office. The work environment characteristics described here are representative of those an employee encounters while performing the essential functions of this job. Training is provided, but you will be required to adapt to the new and changing technology.
Pay and Benefits:
The hourly rate for this position is $18 per hour. This position offers direct employment with the firm, including a comprehensive benefits package: 401(k), Health insurance, and Paid time off.
Schedule:
Working hours are flexible, generally from 8:30 a.m. to 5:00 p.m., in a 40-hour work week. Monday through Friday. Time may change depending on client or company needs, and work times may be required after hours depending on workload demands. However, all employees are strongly encouraged to manage and organize their workloads, allow free time at nights and weekends, and take time off regularly
