Job Summary:
The Employment Specialist’s primary duties are managing job postings, processing background checks, coordinating international employment, handling tuition waivers and Graduate Assistant paperwork, and assisting with new employee orientation. This role requires strong communication, organization, and multitasking skills in a fast-paced environment.
Essential Duties & Responsibilities:
· Provides support services to the department in a manner that professionally, cordially, and efficiently assists students, faculty, staff, and visitors
· Create and manage job postings and assist with candidate hires within SWOSU’s applicant tracking system
· Issues and maintains background checks for new and transferring employees and summer camps
· Post external advertisements for departments
· Responsible for processing and tracking Graduate Assistants and paperwork
· Processes SWOSU tuition waivers
· Handles every aspect of International Employment and works closely with SWOSU’s immigration attorney
· Coordinate necessary paperwork for volunteers
· Conduct New Employee Orientation and Administrative Assistant trainings quarterly
· Endeavor to remain current on legal issues impacting employment law and immigration law
· Deal with the public extensively; this includes applicants, employment verifications, and employees
· Review and periodically recommend modifications and enhancements to SWOSU’s employment policies and procedures
· Maintain and create a variety of reports, letters, and internal documents
· Acts as a backup for processing student worker paperwork and troubleshooting errors in time entry systems
· Acts as backup for conducting benefit summary for prospective faculty and staff
· Other duties as assigned
Minimum Requirements:
· Two years previous work experience in an office environment or two years successful completion of college level relevant coursework
· Proficiency in Microsoft Office
· Strong written, verbal, basic math, and interpersonal skills
Preferred Qualifications:
· Experience with HRIS systems
· Strong background in technology
· Previous work experience with higher education
· Previous work experience with international employment
· Such alternatives to the above qualifications as the President of SWOSU or their designee may find appropriate
Competencies:
· Ability to multi-task, organize, manage time effectively, and keep tasks appropriately prioritized
· Remains knowledgeable applicable regulations, policies, and protocols
· Ability to work with, assist, lead, and take directions from others in the interest of operating the Human Resources Office to its optimal efficiency
· Ability to prioritize workload effectively while working in a time critical, high-pressure environment
Work Setting:
· Expectation of on-campus presence with attendance and punctuality
· Available to assist with situations during or after working hours whether in-person, by phone, or email contact
