Operations Manager
Contract: Permanent, Full Time
Office Location: Warsaw
The role:
The Operations Manager will be responsible for driving operational excellence, ensuring there are simplified, efficient and standardised processes and work standards in place within the newly established Polish practice, supporting optimal management and professional delivery of all work. With the support of both the local Polish management team and the regional Operational Efficiency team, this will include the creation, review and implementation of standardised team procedures, alignment of those processes with firmwide initiatives and implementation of firm standards across the case teams while facilitating core team requirements.
This role requires working closely with case team members at various levels to understand the needs of the team; identifying current issues preventing efficient work, resolving those issues as well as creating and implementing new processes/resources/reference materials to prevent future issues and increase efficiency. The role also requires regular engagement with colleagues in the firm’s corporate functions. The Operations Manager will regularly be the single point of contact or subject matter expert for the team when liaising with corporate functions locally and regionally. This is key to ensuring clarity, accuracy, and efficiency for all involved, so excellent communication skills are crucial.
Change management is integral for this role. You will be required to implement, embed, and adapt new processes created within the Poland case teams and as part of broader Fragomen initiatives. This may require beta testing, training, workshops, and the development of tailored reference materials.
What your day will look like:
- Develop implementation plans for defined/revised processes including KPIs, feedback mechanisms and periodic review approach
- Play key role in task re-allocation as required and in line with firm initiatives
- Work with the wider Operational Efficiency team to promote outsourcing of tasks to Shared Services
- Work with Shared Services to efficiently outsource tasks, draft how to guides and provide training
- Work closely with the Poland Management Team and support the growth of the Practice by adapting work process accordingly, assist in defining job roles, creating reference material
- Implement new or amended processes; create implementation plan, embed changes (test and integrate), maintain process implementation (review and analyse) and set up controls such as KPIs, issues log, feedback log and regular process reviews are in place
- Create and maintain team SharePoint sites
- Create, maintain, schedule and analyse reports for team and clients
- Identify learning gaps, developing whole team training and resources, deliver training
- Create, oversee and manage projects including working Fragomen corporate teams in beta testing

Essential criteria:
- Extensive change and project management experience, as well as best practice delivery models, identifying, advising on, and implementing operational improvements in a complex business environment.
- A highly motivated and organised professional who is comfortable working at both a strategic and a hands-on level
- An excellent communicator who has a proven track record in operations management, and able to work in a fast -paced environment.
- Ability to inspire confidence in senior level stakeholders and have the determination and flexibility to meet challenging goals.
- Excellent time management skills with ability to manage varied and heavy workload.
- Highly proficient in Office 365 applications such as Forms, Planner, One Note, SharePoint, VISIO.
Preferred skills:
- Clear, well-organised and efficient project management; proposals, setting objectives, giving instructions and analysis.
- Listening and people skills with ability to work with a wide range of people at different levels of seniority.
- Training and management skills.
