The role:
We are seeking a highly organised and proactive Personal Assistant to support both the Practice Leader and the Office Director at our Paris office. This role requires excellent communication skills, a high level of discretion, and a hands-on, problem-solving mindset. As the central point of coordination, you will play a vital role in ensuring the smooth running of day-to-day activities and maintaining a well-functioning and welcoming office environment.
What your day will look like:
Managing calendars and scheduling appointments, meetings and travel arrangements for the Practice Leader and Office Director
Handling phone calls, emails and administrative correspondence with internal and external stakeholders
Preparing documents, presentations, and reports; managing expense claims
Coordinating vendor services, facilities and office supplies
Greeting visitors, managing front-of-house and overseeing meeting rooms
Supporting onboarding/offboarding processes in collaboration with HR and IT
Organising local office and social events
Maintaining filing systems and ensuring GDPR compliance
Supporting the Business Continuity Plan and day-to-day office operations
The team:
Fragomen’s Paris office is located in the modern business district of La Défense and houses a team of over 30 professionals from diverse backgrounds. As part of the local operations and leadership support team, you will collaborate closely with colleagues across departments and serve as a trusted resource in the office.
What we are looking for:
Essential criteria:
Proven experience as a Personal Assistant or Executive Assistant, ideally in a corporate/professional services environment
Fluent in French and English, written and spoken
Excellent organisation, multitasking, and time management skills
Strong communication and interpersonal abilities
High level of confidentiality and discretion
Confident user of Microsoft Office (Word, Outlook, Excel, PowerPoint)
Ability to work independently and with initiative
Preferred skills:
Experience with office coordination and vendor management
Familiarity with document management and GDPR compliance
Experience supporting HR and/or facilities-related tasks

What to expect:
Once you have submitted your application, our Talent Acquisition team will review your skills and experience. If these match the requirements of the position, a member of our team will contact you to schedule an initial phone call.
If shortlisted, you will be invited to participate in our interview process, which will consist of at least two stages, one of which will be conducted in-person. Depending on the role, you may also be required to complete a written assessment.
